ReCurr Pro Tutorial Series — Part 6: Reports & Analytics

ReCurr Pro feature — Requires an active ReCurr Pro licence (RECPRO-XXXX-XXXX-XXXX-XXXX) and the ReCurr Pro plugin installed alongside the ReCurr base plugin.

ReCurr Pro provides two dedicated reporting dashboards — one for CRM metrics and one for Affiliate performance — plus a WordPress dashboard widget for quick daily insights. This tutorial walks you through every report available and how to use the data to grow your subscription business.

Before You Begin

  • ReCurr Pro is installed and your Pro licence key is active
  • You have active subscriptions generating data
  • You are familiar with the CRM (Pro Tutorial 1) and Affiliate modules (Pro Tutorial 3)

Part A: CRM Reports Dashboard

The CRM Reports dashboard gives you a high-level view of your subscription business health.

Step 1: Access CRM Reports

  1. Go to Subscriptions > CRM Reports in your WordPress dashboard
  2. The reports dashboard loads with real-time data from your subscriptions and contacts

Screenshot 1: The CRM Reports dashboard overview showing all metric cards and charts.

Step 2: Understand the Key Metrics

At the top of the dashboard, four key metric cards provide instant business health indicators:

Monthly Recurring Revenue (MRR)

Detail Description
What it measures Total predictable monthly revenue from all active subscriptions
How it’s calculated Sum of all active subscription amounts, normalised to monthly (e.g., a R3,839/year subscription = R319.92/month MRR)
Billing period normalisation Daily, weekly, quarterly, and annual subscriptions are all converted to their monthly equivalent

Screenshot 2: The MRR card showing the current monthly recurring revenue value.

Average Revenue Per User (ARPU)

Detail Description
What it measures Average revenue each active subscriber generates per month
How it’s calculated MRR divided by total number of active subscribers
Why it matters Increasing ARPU indicates successful upselling or plan upgrades

Screenshot 3: The ARPU card showing the average revenue per user.

Churn Rate (30-Day Rolling)

Detail Description
What it measures Percentage of subscribers lost over the past 30 days
How it’s calculated (Cancellations + Expirations in last 30 days) / Total active subscribers at start of period
Healthy range Below 5% monthly for most subscription businesses

Screenshot 4: The Churn Rate card showing the 30-day rolling churn percentage.

Customer Lifetime Value (LTV)

Detail Description
What it measures Predicted total revenue from an average customer over their lifetime
How it’s calculated ARPU / Churn Rate
Why it matters LTV helps you determine how much you can spend to acquire a customer (and still be profitable)

Screenshot 5: The LTV card showing the estimated customer lifetime value.

Step 3: Subscription Status Breakdown

Below the metric cards, a status breakdown shows how your subscriptions are distributed:

Status Description
Active Currently paying, in good standing
Trial On a free trial, not yet paying
On Hold Payment failed, awaiting retry or resolution
Cancelled Customer cancelled, no longer active

This is displayed as a summary with counts and percentages for each status.

Screenshot 6: Subscription status breakdown showing Active, Trial, On Hold, and Cancelled counts with percentages.

Step 4: Revenue Chart (12 Months)

A bar chart shows monthly revenue over the past 12 months. Each bar represents the total subscription revenue collected in that month.

Use this to identify:

  • Revenue growth or decline trends
  • Seasonal patterns
  • The impact of pricing changes or promotions

Screenshot 7: The 12-month revenue bar chart showing monthly revenue values.

Step 5: New Subscribers Chart (12 Months)

A second bar chart shows the number of new subscribers acquired each month over the past 12 months.

Use this to measure:

  • Growth velocity
  • Effectiveness of marketing campaigns
  • Seasonal signup patterns

Screenshot 8: The 12-month new subscribers bar chart showing monthly acquisition counts.

Step 6: Contact Lifecycle Breakdown

A summary showing how your contacts are distributed across lifecycle stages:

Stage Count Percentage
Lead — —
Trial — —
Active — —
At Risk — —
Churned — —
Recovered — —

This gives you a quick view of your customer pipeline health. A high percentage of “At Risk” contacts may indicate payment issues or product satisfaction problems.

Part B: Affiliate Reports Dashboard

The Affiliate Reports dashboard provides comprehensive analytics for your affiliate program’s performance.

Step 7: Access Affiliate Reports

  1. Go to Subscriptions > CRM Reports and switch to the Affiliate tab
  2. Or navigate directly to the affiliate reports section

Screenshot 10: The Affiliate Reports dashboard overview showing all metric cards, charts, and tables.

Step 8: Affiliate Key Metrics

Five metric cards summarise your affiliate program:

Metric Description
Active Affiliates Number of affiliates currently in “Active” status
Total Commissions Cumulative commissions earned across all affiliates (all time)
Total Paid Out Total amount paid to affiliates via all payout methods
Pending Payouts Total approved commissions awaiting payout
Affiliate Revenue Total order revenue attributed to affiliate referrals

Screenshot 11: The five affiliate metric cards showing active affiliates, total commissions, paid out, pending, and attributed revenue.

Step 9: Conversion Funnel

The conversion funnel visualisation shows the efficiency of your affiliate program at each stage:

Stage Description
Visits Total clicks on referral links
Referrals Clicks that converted to sales
Approved Referrals past the holding period
Paid Commissions that have been paid out

Between each stage, the conversion percentage is displayed (e.g., “12.5% of visits converted to referrals”).

Screenshot 12: The conversion funnel showing Visits → Referrals → Approved → Paid with conversion percentages between each stage.

Step 10: Revenue Attribution

This section shows the split between affiliate-generated and organic revenue:

Source Description
Affiliate Revenue Total revenue from orders attributed to an affiliate referral
Organic Revenue Revenue from orders with no affiliate attribution

Displayed as a visual bar with percentages. This helps you understand how dependent your business is on affiliate-driven sales.

Screenshot 13: Revenue attribution bar showing affiliate vs organic revenue with percentages (e.g., “35% Affiliate, 65% Organic”).

Step 11: Referral Trends (12 Months)

A bar chart showing the number of referrals generated each month over the past 12 months. This helps identify:

  • Growth or decline in affiliate activity
  • Impact of campaigns to sign up new affiliates
  • Seasonal patterns in referral generation

Screenshot 14: The 12-month referral trends bar chart.

Step 12: Payout Trends (12 Months)

A bar chart showing total payout amounts processed each month. Compare this with the referral trends chart to understand the lag between referral creation and payout.

Screenshot 15: The 12-month payout trends bar chart.

Step 13: Top Affiliates Table

A ranking of your top 15 performing affiliates:

Column Description
Rank Position by earnings
Affiliate Name and referral code
Visits Total clicks on their referral link
Referrals Number of successful referrals
Conversion Rate Referrals / Visits as a percentage
Earnings Total commissions earned
Balance Current unpaid balance

Use this to identify your star performers and nurture relationships with them.

Screenshot 16: The top 15 affiliates table showing performance rankings with visits, referrals, conversion rate, and earnings.

Step 14: Export Affiliate Data

To export your affiliate data for external analysis:

  1. Click the Export CSV button on the Affiliate Reports page
  2. A CSV file downloads containing all affiliate data: performance metrics, referral history, and payout records

The CSV can be opened in Excel, Google Sheets, or any data analysis tool.

Screenshot 17: The Export CSV button on the Affiliate Reports page.

Part C: WordPress Dashboard Widget

Step 15: The ReCurr Pro Dashboard Widget

ReCurr Pro adds a widget to your WordPress dashboard (the page you see when you first log in to WordPress admin). This widget provides a daily snapshot without navigating to the full reports:

Metric Description
MRR Current monthly recurring revenue
Active Subscriptions Total active subscription count
New Today Subscriptions created today
Churn Rate 30-day rolling churn
Pending Payouts Affiliate payouts awaiting processing

Using Reports to Grow Your Business

Here are practical ways to act on your report data:

If MRR is Declining

  • Check the churn rate — is it increasing?
  • Review “At Risk” contacts in the CRM — reach out proactively
  • Set up a payment failed automation (Pro Tutorial 2) to recover failed payments

If Churn Rate is High

  • Create a churn win-back automation with a discount coupon
  • Review cancelled subscription reasons (if you collect them)
  • Consider offering longer billing commitments (annual discounts) to increase retention

If ARPU is Low

  • Promote plan upgrades (Standard → Plus → Pro)
  • Use the billing cycle toggle to encourage annual commitments with discounts
  • Create targeted campaigns for contacts on lower-tier plans

If Affiliate Conversion Rate is Low

  • Review the quality of your creatives — are banners and links compelling?
  • Check if the landing page experience matches the affiliate’s promotion
  • Increase the cookie duration to capture longer decision cycles
  • Consider increasing commission rates to attract higher-quality affiliates

Important Notes

  • All reports use real-time data. Metrics are calculated from your database when the page loads — there is no caching delay.
  • MRR normalisation handles all billing periods. Whether a customer pays daily, weekly, monthly, quarterly, or annually, their contribution to MRR is accurately normalised.
  • Churn rate is 30-day rolling. This gives you a recent, actionable view rather than a skewed all-time average.
  • CSV exports include all data. The export is not filtered — it contains the complete affiliate dataset for offline analysis.
  • The dashboard widget respects WordPress permissions. Only admin users see the ReCurr Pro widget.
