ReCurr Pro Tutorial Series — Part 1: CRM Getting Started

ReCurr Pro feature — Requires an active ReCurr Pro licence (RECPRO-XXXX-XXXX-XXXX-XXXX) and the ReCurr Pro plugin installed alongside the ReCurr base plugin.

The ReCurr Pro CRM gives you a complete view of every customer — their subscription history, lifetime value, lifecycle stage, and activity timeline — all from within your WordPress dashboard. In this tutorial, you will learn how to navigate the CRM, manage contacts, use lifecycle stages, and organise customers with tags.

Before You Begin

  • Both the ReCurr base plugin and the ReCurr Pro plugin are installed and activated. The base plugin must be installed and activated first, followed by the Pro plugin.
  • Your Pro licence key is active. If you upgraded from a Standard or Plus subscription, your Pro licence was issued automatically when the plan switch took effect — your previous base licence was deactivated at the same time, so no manual cancellation is needed. If you purchased Pro directly, the base plugin was included in your download and should already be installed.
  • The Pro licence is displayed on both the ReCurr Licence page and the ReCurr Pro Licence page once active.
  • You have at least one active subscription (contacts are auto-created from WooCommerce customers)

Step 1: Access the CRM

  1. In your WordPress dashboard, go to Subscriptions in the sidebar
  2. You will see the CRM menu items: CRM Contacts, CRM Tags, CRM Tasks

Screenshot 1: WordPress dashboard sidebar showing the Subscriptions menu expanded with CRM Contacts, CRM Tags, and CRM Tasks sub-items visible.

Step 2: View Your Contacts

Navigate to Subscriptions > CRM Contacts.

This page shows all your CRM contacts in a searchable, filterable list. Contacts are automatically created and synced from your WooCommerce customers — you do not need to import them manually.

Each row displays:

Column Description
Name Customer’s first and last name
Email Contact email address
Lifecycle Stage Current stage in the customer journey
Total Spent Cumulative amount spent across all orders
LTV Lifetime value (total revenue attributed to this customer)
Tags Any tags assigned to the contact
Last Active When the contact was last active

Screenshot 2: The CRM Contacts list page showing several contacts with their lifecycle stages, spend totals, and tags.

Step 3: View a Contact Profile

Click on any contact name to open their full profile. The contact profile is your single source of truth for everything about this customer.

Contact Details

At the top of the profile, you will see the contact’s core information:

  • Name and Email
  • Phone and Company (if provided)
  • Source — how this contact was acquired (e.g., WooCommerce checkout, manual entry)
  • Country and City
  • Assigned To — the team member responsible for this contact

Screenshot 3: Contact profile header showing customer name, email, phone, company, and source details.

Financial Summary

Below the contact details, the financial summary shows:

  • Total Spent — cumulative order value
  • LTV (Lifetime Value) — total revenue attributed to this customer over their lifetime
  • Currency — defaults to ZAR

Screenshot 4: Contact profile financial summary showing Total Spent and LTV values.

Activity Timeline

The activity timeline provides a chronological log of every interaction and event for this contact:

  • Subscription created, renewed, cancelled
  • Orders placed and payments received
  • Lifecycle stage changes
  • Tags added or removed
  • Notes added by team members
  • Emails sent via campaigns

Screenshot 5: Contact profile activity timeline showing a sequence of events including subscription creation, payment, and lifecycle change.

Step 4: Understand Lifecycle Stages

Every contact moves through lifecycle stages that reflect where they are in the customer journey. ReCurr Pro automatically transitions contacts between stages based on subscription events.

The Six Lifecycle Stages

Stage Description Auto-Triggered When
Lead New contact, no active subscription yet Contact created (default stage)
Trial Currently on a free trial Trial subscription starts
Active Paying customer with active subscription First payment completed or trial converts
At Risk Payment failed or subscription on hold Payment fails or subscription put on hold
Churned Subscription cancelled or expired Subscription cancelled or expires
Recovered Previously churned, now re-subscribed New subscription created after churn

Manual Stage Override

While lifecycle stages transition automatically, you can override them manually:

  1. Open the contact profile
  2. Click on the current lifecycle stage badge
  3. Select the new stage from the dropdown
  4. Click Update

The change will be logged in the activity timeline.

Step 5: Create and Manage Tags

Tags let you organise contacts into flexible groups for filtering, segmentation, and automation targeting.

Create a Tag

  1. Go to Subscriptions > CRM Tags
  2. Click Add New Tag
  3. Enter a Tag Name (e.g., “VIP”, “Enterprise”, “Needs Follow-up”)
  4. Select a Colour for the tag (helps with visual identification)
  5. Click Save Tag

Screenshot 8: The Add New Tag form with name and colour fields.

Screenshot 9: The CRM Tags list showing several tags with their assigned colours.

Assign Tags to a Contact

  1. Open the contact profile
  2. In the Tags section, click Add Tag
  3. Select one or more tags from the dropdown
  4. Tags are saved immediately

You can also remove tags by clicking the x next to any assigned tag.

Screenshot 10: Contact profile Tags section showing two assigned tags with an “Add Tag” dropdown open.

Use Tags for Filtering

On the CRM Contacts list page, use the tag filter to find all contacts with a specific tag:

  1. Click the Filter dropdown above the contacts list
  2. Select a tag
  3. The list updates to show only contacts with that tag

Step 6: Create and Manage Tasks

Tasks help you track follow-ups, calls, and meetings related to specific contacts.

Create a Task

  1. Open a contact profile
  2. Scroll to the Tasks section
  3. Click Add Task
  4. Fill in the task details:
Field Description
Title Brief description of what needs to be done
Type Task, Call, Meeting, or Follow-up
Priority Low, Normal, High, or Urgent
Due Date When the task should be completed
Assigned To Team member responsible
  1. Click Save Task

Screenshot 12: The Add Task form with title, type, priority, due date, and assigned to fields.

Manage Tasks

You can also view all tasks across all contacts from Subscriptions > CRM Tasks. This gives you a central view of everything that needs attention.

Tasks can be marked with the following statuses:

  • Pending — not yet started
  • In Progress — currently being worked on
  • Completed — finished
  • Cancelled — no longer needed

Step 7: Edit Contact Details

To update a contact’s information:

  1. Open the contact profile
  2. Click Edit next to the contact details section
  3. Update any fields — name, phone, company, country, city
  4. Set the Assigned To field to assign the contact to a team member
  5. Click Update Contact

Screenshot 14: Contact profile in edit mode with editable fields for name, phone, company, and assigned team member.

Step 8: Add Notes to a Contact

Notes are useful for recording conversations, decisions, or observations about a customer.

  1. Open the contact profile
  2. In the Activity Timeline section, click Add Note
  3. Type your note
  4. Click Save

The note appears in the activity timeline with a timestamp and the name of the team member who added it.

How Contacts Are Synced

ReCurr Pro automatically syncs contacts with WooCommerce:

  • New customer checkout — a CRM contact is created automatically
  • Subscription events — lifecycle stage updates automatically (trial started, payment completed, cancelled, etc.)
  • Order totals — Total Spent and LTV are updated with each completed order
  • No manual import needed — existing WooCommerce customers are synced when the Pro plugin is activated

This means your CRM is always up to date without any manual data entry.

Important Notes

  • Contacts are not the same as WordPress users. A CRM contact is a richer profile that includes financial data, lifecycle tracking, tags, and activity history. It is linked to a WordPress user account but stores additional CRM-specific data.
  • Lifecycle stages are automatic. You rarely need to change them manually — the system handles transitions based on real subscription events.
  • Tags are flexible. Use them for anything — customer segments, sales pipeline stages, marketing campaigns, internal notes. There is no limit to the number of tags you can create.
  • Activity is logged automatically. Every subscription event, payment, and lifecycle change is recorded. You only need to add manual notes for conversations or observations.
